 Information management in a Charity

Hi
I have just taken on some work for a small UK based charity. I am finding that my colleagues, who are scattered all over the country working from their homes, have a wealth of experience, contact information, research knowledge, good practice stories, statistical data, etc., etc. Obviously it would be great to pool and share that knowledge, and maybe even give access to some of our partner organisations. But we only get together once a month for a short and very busy meeting.

Does anybody have experience of a similar situation (compounded by lack of money of course) and how did you tackle it(database? website? newsletter?) One idea I had was to use a shareware PIM and put the resulting files on a CD to distribute. All suggestions welcome!
