 Document Banks and Archival Digitization

I would be grateful if I can be given some pointers as to how I can go about digitizing the archives of my company. I am a Librarian with the Lesotho Highlands Development Authority which the parastatal organisation executing the Lesotho Highlands Water Project.

The project started in 1986 and has so far accumulated numerious documents from prequalitications, tenders, tender evaluation reports, contract documents, drawings, photographs, video cassettes, audio-tapes, correspondance, financial records etc. All these has to be processed properly and archived in such a way as to be easily accessible whenever they are needed for any reason.

I had thought about digitizing most of the collection and sending the majority of the hard copies to a Document Bank. Does anyone have experience in digitizing this kind of collection as well as in the use of Document Banks. What are the advantages and disadvantages. We have a chronic shortage of storage space.
